DHL Express, Inc. Department Secretary in Hong Kong


Working Location : Chek Lap Kok

Reporting to the Vice President, Aviation, Network Planning & Control, Asia Pacific, you are required to provide support to both the Vice President and his Regional Aviation team. Main responsibilities will included

  • Provide full secretarial and administrative services to the Vice President

  • Manage diaries and handle phone calls of the Vice President and where relevant, draft responses or take other appropriate actions

  • Organize, schedule, and coordinate the meetings or events as required including agenda preparation, and other events such as managing travel and accommodation

  • Provide administrative support to the Aviation team and as the focal point to coordinate company and team related events/activities/tasks

  • Attend meetings where relevant and prepare minutes to be circulated to the attendees for appropriate action and follow up

  • Prepares slides for presentation, which requires some individual judgment and creativity

  • Coordinate, compile data for reports and submit reports in a timely manner

  • Organize and maintain an up-to-date filing system and file server that provides efficient reference

  • Undertake any other function-related duties and tasks as assigned


  • Diploma holder or above with formal secretarial training, with minimum 8 years of relevant experience in multinational companies

  • Excellent command in spoken and written English, Cantonese and Mandarin

  • Strong communication skills. Able to speak clearly, confidentially and listen attentively

  • Effective interpersonal skills; able to work co-operatively with all levels of people with good networking and be able to make sound personal judgments

  • Excellent computer literacy, especially in MS Office skills (Word, Excel, PowerPoint, etc.)

  • Good time management skills, able to prioritize and organize well
