Associate Administration Services Manager

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Plan and execute the Product Development events and other special events including scheduling and resources management, logistic co-ordination, monitoring venue set up, on-site supervision and support

  2. Manage overall project delivery to ensure smooth running of the event and high service experience. Provide and execute solutions to problems arouse

  3. Lead a small team of staff to deliver the event effectively prior to, during and after the event

  4. Act as a focal point of contact on the event and coordinate closely among various stakeholders in SF, in different functions of GIS and vendors relevant to the events

  5. Manage hotel and travel services and relevant vendors for GIS HK Office

  6. Manage internal cell phone services for GIS HK Office

  7. Manage day-to-day office supplies/service for GIS HK Office

  8. Manage receptionist outsourcing vendor and monitor their service and performance level

  9. Provide support on other ad hoc administration services as assigned

  10. Act as Gatekeeper/ Project manager for the office renovation projects as assigned

  11. Develop Standard Operating Procedures

REQUIRED QUALIFICATIONS:

1) Knowledge, skills & abilities:

  • Degree holder

  • Minimum 5 years of proven experience in event management, project, travel or hotel management preferably gained from a dynamic multinational organization, knowledge of apparel supply chain is a definite advantage

  • A self-starter with a “can do” attitude, high initiative and strong drive for results

  • Attentive to details

  • Excellent project management skills with the ability to work within tight deadlines

  • Strong communication skills with the ability to interact and influence across all organizational levels and demonstrate a professional presence

  • Experienced presenter

  • Problem solver and team player

  • Fluent in spoken and written English

  • Advanced proficiency in data analysis, Microsoft PowerPoint and Excel is a must

  • Travel is required per business needs
